
First, when meeting participants show up they should already know what the meeting is about, what topics they are responsible for and pre-meeting discussions focused on making the meeting time effective should have been completed. Open the meeting stating its purpose and hand out an agenda with time allotments per subject. Star on time and finish on time.
Second, discuss the topics with the leader assessing how effectively the team is working together and moving through the discussions. If the meeting begins to wander off course or get stuck in minutia thent he meeting leader should ask questions like:
- Is this aspect of our conversation vital to moving forward? Think about our earlier article on VitalTalks.
- Are we following a consultative decision making style? What could we do differently now to move forward in our discussion?
- Are we making clear request from each other, creating agreements with clear commitments to action?
- Is this direction in our meeting helping us discover new and inspiring possibilities?
- Making a list of key issues that were identified,
- Tracking anything of an ongoing nature with due dates,
- Make sure every vital issue has an owner
- Make sure every owner outlines clear next steps
- Ask that all commitments be declared clearly to the meeting participants out loud and
- Schedule the next meeting
